Please read them carefully before making a booking.

2. Booking a Taxi

Bookings can be requested through our website, booking system or customer service team.

We request at least three hours’ notice for online bookings. If your journey is required within three hours, please telephone us to confirm availability.

A booking is confirmed when we accept it and provide confirmation through the booking system, email or another agreed method.

Submitting an enquiry or requesting a quotation does not automatically create a confirmed booking.

You are responsible for providing accurate journey information, including pickup location, destination, travel date, time, passenger count, luggage and contact details.

3. Fares and Payments

The quoted fare is based on the journey details supplied at the time of booking.

Any applicable taxes, charges and additional services should be identified before you confirm your booking.

Prices may change if you request material alterations, such as additional destinations, extended waiting periods or a different vehicle.

We will explain any additional charge before carrying out the requested change wherever reasonably possible.

Payment methods available for your booking will be displayed or confirmed before payment.

A booking is not considered paid until the relevant payment has been successfully processed.

4. Vehicle Availability

Vehicle categories may include saloon cars, estate cars, people carriers, executive cars and eight-seater vehicles.

Vehicle examples shown on our website are representative and do not guarantee a particular make or model.

We may provide an equivalent suitable vehicle where necessary, provided it meets the agreed passenger, luggage and accessibility requirements.

5. Airport Transfers

Customers must provide accurate flight information and a suitable pickup arrangement.

We may monitor incoming flights to help coordinate collections, but passengers should notify us of significant changes whenever possible.

Our published airport arrangements provide up to 45 minutes of complimentary waiting for incoming flights. Waiting charges may apply after the complimentary period in accordance with the charges disclosed for your booking.

For airport pickups, our published terms also provide an allowance of up to 90 minutes without successful passenger contact before the journey may be treated as a no-show.

The applicable start of each waiting period, meeting point and any additional charges should be confirmed with the customer before travel.

Passengers should allow sufficient time for immigration, baggage collection, airport procedures and onward travel.

6. Cruise Port and Station Transfers

Customers must provide accurate terminal, vessel, train or journey information where relevant.

We recommend allowing suitable time for disembarkation, baggage collection, traffic and terminal procedures.

Changes in arrival or departure schedules should be communicated as soon as reasonably possible.

Additional waiting or route changes may affect the agreed fare, subject to the booking confirmation.

7. Customer Cancellation

Customers wishing to cancel a booking should contact Southtax Cars as soon as possible.

Our standard published cancellation arrangement allows cancellation and refund where at least 24 hours’ notice is provided before the scheduled pickup.

Cancellations made with less than 24 hours’ notice may be subject to reasonable charges, as disclosed before the booking is confirmed and permitted by applicable law.

Where a vehicle has already been dispatched, reasonable costs associated with the dispatch and journey undertaken may apply.

For further details, please read our Cancellation and Refund Policy.

8. Amendments to Bookings

Please contact us as soon as possible if you need to change your journey time, date, route, passenger numbers or vehicle requirements.

Changes are subject to availability and may require a revised fare.

No amendment is effective until it has been accepted by Southtax Cars.

9. Passenger Responsibilities

Passengers must behave respectfully towards drivers and other passengers.

We may refuse or discontinue a journey where there is violence, threatening behaviour, serious abuse, unlawful conduct or a material safety risk.

Any refusal or termination will be handled lawfully and without unlawful discrimination.

Smoking and vaping are not permitted in our vehicles.

Passengers may be responsible for reasonable, evidenced cleaning or damage costs arising from their actions, subject to applicable consumer law.

10. Children and Child Seats

Children must travel in accordance with applicable UK child-restraint and seat-belt legislation.

Please inform us when booking if a baby seat, child seat or booster seat is required.

Provision of a particular child seat must be confirmed in advance and is subject to availability.

Passengers bringing their own child seats must ensure that they are suitable and installed safely, with appropriate assistance or instructions where required.

11. Luggage and Personal Property

Customers must book a vehicle suitable for the size and quantity of luggage.

Please inform us about oversized items, pushchairs, mobility equipment or other unusual baggage requirements.

We will take reasonable care when handling passenger property.

Our responsibility for lost or damaged belongings is subject to applicable law. Nothing in these Terms removes liability arising from our negligence where the law does not permit that liability to be excluded.

12. Accessibility and Assistance

We aim to provide services in accordance with the Equality Act 2010 and applicable taxi and private hire accessibility requirements.

Please notify us of accessibility requirements so that suitable arrangements can be discussed.

Assistance dogs will be accommodated in accordance with legal requirements, subject only to lawful exemptions.

We will not charge additional fees for assistance that must be provided without charge under applicable legislation.

13. Delays and Exceptional Circumstances

Journey times may be affected by road closures, accidents, severe weather, traffic congestion, vehicle faults and other circumstances beyond reasonable control.

We will take reasonable steps to provide the agreed service and communicate significant disruptions.

Customers should allow adequate travel time, particularly for flights, cruises and time-sensitive appointments.

Nothing in these Terms excludes your statutory rights where our services have not been provided with reasonable care and skill.

14. Partner Operators

Where operationally necessary, an appropriate licensed partner operator may assist with fulfilling a confirmed journey.

Any such arrangement will be handled in accordance with applicable licensing obligations.

We remain responsible for our contractual obligations to customers to the extent required by law.

15. Complaints and Disputes

If you experience a problem, contact:

info@southtaxcars.co.uk

Please include your booking reference, travel date and a description of the concern.

We aim to investigate complaints fairly and communicate the outcome.

16. Limitation of Liability

Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or any liability that cannot legally be excluded.

Any other limitations are subject to applicable consumer protection legislation.

17. Changes to These Terms

We may update these Terms for future bookings.

The terms applicable to an existing booking will normally be those accepted when the booking was confirmed, unless changes are lawfully agreed or legally required.

18. Governing Law

These Terms are governed by the laws of England and Wales, subject to any mandatory consumer protections that apply to the customer.
